Sublease Portfolio Manager

Who We Are:

The Real Estate & Workplace (REW) Team is seeking a candidate who is self-starting and able to multitask in a fast-paced changing environment. This is a mid-level position where the candidate should have a minimum 4-5 years of relevant commercial real estate property management or lease administration work experience. This candidate will be directly supporting the Global Planning Manager, supporting both internal and external business partners. The ideal candidate is resourceful and enjoys executing work timely and with detail-orientation.  Please include a cover letter and tell us about a time in your work experience when you used your skills to manage a challenging situation and had favorable results.

 

What You’ll Do:

  • Main Point of Contact for day-to-day Subtenant relationships

  • Handle Sublease inquiries from internal staff

  • Subtenant Work Order Request Management

  • Ensure regular Property Inspections are conducted

  • Interact with Landlords on sublease administration matters including vendor set-up, billing questions and lease issues

  • Subtenant COI tracking

  • Subtenant vendor COI tracking

  • Vendor Access Requests

    • COI Collection & Verification

    • Freight Elevator/Security Guard Coordination

    • Access Requests for Landlord

  • Space Alterations Review

    • Review with Subtenant

    • Review with internal REW staff

    • Submit to Landlord for Review

  • Ensure Annual Fire/Life Safety Training and Emergency Evacuation Coordination

  • Monthly Rent & Billback Documentation Collection & Review

    • Twitter-initiated monthly billbacks/pass-throughs

    • Landlord billbacks/pass-throughs

  • Annual Budget for Twitter pass-through expenses

  • Annual Operating Expense Reconciliations

    • Twitter Expenses Reconciliation

    • Pro rata share of LL Recon billback/pass-through

  • Operating Expense Estimates - provide notice in December of each year/prior to new Calendar Year; bill monthly

    • Twitter expenses

    • Pro rata share of LL OPEX

  • Verification of Preventive Maintenance Contract Adherence, (i.e. HVAC PMs in IDF Rooms)

  • Upkeep of Sublease Master Matrix  

 

Who You are:

  • Bachelor Degree (Business Administration, Finance, Accounting or related fields preferred)

  • Strong accounting & financial skills

  • Experience in Commercial Property Management or Lease Administration

  • Ability to multitask in a fast-paced environment

  • Excellent communication skills

 

Requirements:

  • Prior Commercial Property Management or Lease Administration experience

  • Bookkeeping, Bill Payment, Accounts Payable, Account Receivable experience, preferably in a real estate environment

  • Minimum Associates degree with 4-5 years of relevant experience or Bachelor degree

  • Knowledge of both Microsoft Office with emphasis on strong Excel skills and Google Drive, Google docs and Google apps.
