Position: Sr. Office Coordinator (6-month fixed-term contract)

What We Are Looking For:

We are hiring a Sr. Office Coordinator for our Dublin office. The position will report to the REW (Real Estate and Workplace) Dublin Office Manager. Twitter culture requires an emphasis on adaptability in a rapidly growing corporate setting.


What You’ll Do:

●Develop and maintain strong, positive and effective working relationships with all internal & external stakeholders.

●Monitor via KPI’s facilities operations including the performance of vendors, service providers, food & event services, mail/post services, building & equipment maintenance, all audits and other operational requirements for the office and support to other offices in the EMEA region as required

●Create and manage Purchase orders and process invoices and reconciliations viaConcur & Oracle.

●Review all vendor invoices, work with providers if any discrepancies. Monitor office budget and report on monthly/quarterly financial results in partnership with the Manager

●Project manage all internal events within the office. Plan, organize and execute approval internal and client-facing office events as directed. Coordinate food with onsite provider, or external supplier as necessary. Coordinate logistics and space setup. Work with janitorial staff to make sure all spaces are prepped for events and promptly cleaned and reset after. Work with Security and to coordinate all guest access to space to ensure a positive guest experience. Liaise with ITSys for any A/Vor IT needs

●Manage & report all office requests using Twitter’s internal work order ticketing system. Respond in a timely manner per the established department metrics. Answer questions and perform tasks as requested. Escalate when necessary. Engage outside parties as required to fulfil tasks (repairs, etc.) Ensure that top customer service levels are being met via prompt, friendly response.

●Support maintenance and update of floor plans, space configurations, furniture layouts and reconfigurations of space via planning tool etc.

●Plan move projects, coordinate and oversee the allocation of space, layouts, furniture for moves, shuffles, adds, and changes. Assess and identify areas for improvement (business processes, SOP, automation etc.)

●Onsite point of contact for vendor relations. Ensure providers are meeting contractSLA’s. Onboard new vendors, establish PO’s, point person for any payment or invoicing issues. Responsible for providers of food services, office supplies, plants,1

appliances, furniture, parking, pest control, janitorial, maintenance, shipping, carting, movers, Ergo and HVAC.

●Coordinate New Hires onboarding & integration with Departures with HR and IT.

●Work with Twitter Project Managers on any office improvement projects.

●Oversee departmental communications (internal newsletter, digital signage, notice emails to staff.)

●Coordinate all departmental reports via keynote, sheets & slidesWhat You Have:

●Experience working under pressure and the ability to adapt to a rapidly changing business environment.

●Innovative mindset and problem-solving approach.

●Experience working in a team environment, as well as independently and autonomously

●Exposure to Tableau a benefit

●Proven ability to manage customer relationships with an emphasis on prompt, respectful service.

●Qualified candidate will have a track record of maintaining and tracking process and procedure for facilities support.

●Demonstrated analytical skills necessary for the collation of data and production of information in a corporate setting.

●Proven ability to manage internal customer relationships with an emphasis on prompt, respectful service.

●Must have good interpersonal skills with the ability to work well with all levels of employees, colleagues, partners and vendors.

●Promote and encourage a culture of teamwork and trust through relationship building with external and internal clients.

●Strong written and verbal communication with an emphasis on prompt, friendly communications


Requirements:

●BA/BS degree in business, management, operations or equivalent combination of education and related experience.

●Min 4 years experience in facilities management operations.

●Ability to navigate a Mac environment and Google Suite (Gmail, Gcal, Drive, Sheets).

●Ability to lift 50lbs.
